- IRS-connected data: transcript packages, authorization records, notice-response metadata, filing-status updates, payment-plan records, and other tax-administration data when you direct us to retrieve or process it.
- Billing and payments: billing contact, amounts, invoicing references, and payment confirmation details. Raw card data is processed by PCI-compliant providers and not stored by us.
- Device and usage: IP address, browser/OS, device identifiers, pages viewed, session metadata, and product telemetry used to secure the platform, enforce entitlements, measure feature usage, and improve reliability.
- Support interactions: communications with our team, call/chat transcripts, and troubleshooting metadata.
- Cookies and similar technologies: as described in our Cookie Policy, to operate the site, remember preferences, measure performance, and improve reliability.
2. How We Use Information
- Provide, operate, and secure the Services.
- Authenticate users and enforce role-based access controls.
- Process transactions, subscriptions, invoices, and consultations.

- Retrieve, normalize, and analyze tax records when you authorize us to do so.

3. Legal Bases (where applicable)
We process personal information with your consent, to perform a contract (the Services you request), to comply with legal obligations, and for legitimate interests such as securing the platform and improving usability, provided those interests are not overridden by your rights.
4. How We Share Information
- Vendors and subprocessors that help deliver the Services (e.g., hosting, payments, email, analytics) under appropriate data protection terms.
- Identity, payment, and filing providers that help us verify users, process authorized payments, or complete filing and monitoring workflows.
- Government agencies and tax administrators when you authorize us to file, retrieve, or respond on your behalf, or when disclosure is required by law.
- Professional advisors (legal, accounting, security) under confidentiality.
- Business transactions in the event of a merger, acquisition, or asset transfer, subject to appropriate safeguards.

We retain information as needed to provide the Services, comply with legal and tax obligations, resolve disputes, and enforce agreements. Consultation, billing, audit, transcript, authorization, and security records may be retained for statutory or operational retention periods even if you request deletion of other data. If you revoke transcript consent, we stop future retrieval activity, but we may keep prior audit and compliance records that we are required to maintain.
6. Your Choices and Rights
- Access, correct, or delete certain information via your account or by contacting us.
- Object to or restrict certain processing where permitted by law.
- Opt out of non-essential cookies via the consent banner and manage browser controls.
- Decline transcript retrieval or withdraw that consent for future requests; this may limit Smart Filing, monitoring, or representation services.
- Unsubscribe from marketing emails using provided links; service or transactional emails may still be sent.

7. Security
We apply technical and organizational safeguards, including encryption in transit, access controls, tenant isolation, audit logging, and least-privilege principles. Sensitive tax operations are restricted to authorized roles and logged for security and compliance review. No system is perfectly secure; promptly notify us of suspected security issues at security@protaxadvisorsfl.com.
8. International Transfers
Data may be stored or processed in the United States. When applicable, we use appropriate safeguards for cross-border transfers, such as standard contractual clauses.
